The NATIONAL SOCCER COACHES ASSOCIATION OF AMERICA (NSCAA) invites you to join us at our 62nd Annual Convention and Trade Show, which will be held in St. Louis, Mo., from Thursday, Jan. 15, through Saturday, Jan. 17, 2009.

Billed as "The World's Largest Annual Gathering of Soccer Coaches," each year the NSCAA Convention draws approximately 4,500 coaches from our 26,000-plus members. The exhibit portion of the Convention has grown continuously in recent years, to the point where nearly 320 companies utilized more than 700 booths in January 2008 in Baltimore. The 2008 Convention was our largest ever in terms of attendees and exhibitors, and St. Louis is poised to challenge that record!

If you plan to exhibit, please send the completed application with payment in full, or deposit, as soon as possible. A deposit is considered to be one-half (50 percent) of the total rental fee due. The deadline for application, rental fee and booth placement per the NSCAA policy is July 1, 2008. The Rental Fee Payment and Placement Policy are contained in the Exhibitor Information Sheet.

Each 10’ x 10’ in-line booth will receive:

  1. 8’ high back drape and 3’ high side drape
  2. (1) exhibitor identification sign
  3. (1) 24” wide by 30” high and 6’ long table, skirted on three sides
  4. (2) standard plastic chairs and (1) wastebasket
  5. Standard 9’ floor carpeting#
  6. Four (4) exhibitor badges per booth space
  7. One (1) registrant badge per exhibiting company
  8. Booth package available to island booths upon request
  9. (1) floor carpet booth number
# Standard carpet will not fill island or peninsula booth spaces. Island and peninsula booths require custom carpet that can be ordered and billed through Champion Exposition Services. NSCAA has negotiated a special rate.


Rental Fee Payment

  1. $950 per 10’ x 10’ for applications received before July 1, 2008
  2. $1,050 per 10’ x 10’ for applications received from July 1, 2008-Sept. 30, 2008
  3. $1,200 per 10’ x 10’ for applications received after Sept. 30, 2008
  4. A 50 percent deposit of the total rental fee will hold space, per the NSCAA Booth Placement Policy, with the final payment due by July 1, 2008.
  5. Deposit or full payment is refundable, less a $100 service charge, if requested prior to Sept. 30, 2008.
  6. Booth deposit or full payment is not refundable after Sept. 30, 2008 – NO EXCEPTIONS.

Booth Placement Policy

  1. Companies whose applications are received prior to July 1, 2008, with payment in full, will be placed according to their longevity of exhibiting at NSCAA Conventions in combination with the date that the application is received by the NSCAA.
  2. Companies that request special booth arrangements must respond by July 1, 2008. Special booth arrangements are defined as islands, peninsulas, end-booths, etc.
  3. The process of finalizing floor plans will begin after the due date of July 1, 2008. Companies whose applications are received after July 1, 2008, with payment in full, will be placed on a first-come, first-served basis, in the available space, without regard to their longevity of exhibiting at NSCAA Conventions.
  4. Companies whose applications are forwarded to the NSCAA after July 1, 2008, will not receive a booth assignment until the full payment has been received.

SHOW RULES AND REGULATIONS
Subject to change. Please see Exhibitor Manual for complete listing of rules.

  1. Second-story booth construction is NOT permitted (i.e., NO STAIRS), with the exception of the NSCAA’s official sponsor/supplier.
  2. Exhibit fixtures, towers and all booth components will be permitted to a maximum height of 18’, with the exception of the NSCAA official sponsor/supplier. Complete booth rules and regulations will be in the Exhibitor Manual, to be mailed by Champion Exposition Services in November 2008.
  3. No non-NSCAA function involving more than 100 convention registrants, through private invitation or open to the public, may be scheduled during the: a.) Exhibit hours Thursday evening (7 p.m.-10 p.m.); b.) Friday Annual Meeting (3 p.m. -3:45 p.m.) and Regional Meetings; c.) Friday Awards Banquet (6:30 p.m.-10 p.m.); d.) Saturday All-America Luncheon (noon-2:30 p.m.).
  4. Children under the age of 16 will not be allowed in the Exhibit Hall Wednesday. During show hours children under the age of 16 will be admitted to the Exhibit Hall only with an approved child’s pass and under adult supervision.
  5. Companies will be assessed a $30 per badge charge for additional badges requested on-site. Payment must be received by the NSCAA Cashier before badges will be issued. Payment must be received by the NSCAA Cashier before badges will be issued.
  6. Companies placed outside the main exhibit hall may not open their booths prior to posted show hours.
  7. The 5 p.m. closing hour on Saturday will be strictly enforced. NSCAA Show Management will make an inspection at the closing hour and report any exhibitors who have dismantled their displays prior to the 5 p.m. closing hour. Exhibitors violating this regulation will lose their space priority at future NSCAA Conventions.
  8. Display or demonstration items outside the designated exhibit areas during the move-in, show days or move-out will be permitted only with written permission from NSCAA.
  9. NSCAA reserves the right to restrict exhibits which, because of noise, music, method of operation, materials or any other reason become objectionable, and also to prohibit or to remove any exhibit which in the opinion of NSCAA may detract from the general character of the show as a whole, or consists of products or services inconsistent with the purpose of the show, without liability for any refunds or other exhibit expenses incurred.
  10. Hospitality suites at all Convention-contracted hotels are available to exhibitors and Convention participants ONLY, as approved by NSCAA, from reservation lists provided to the St. Louis Convention and Visitors Commission.
  11. The NSCAA logo or Convention logo may not be used without the prior written approval of the NSCAA.
  12. Any imprinting, defacing or alteration of Convention registration badges shall be prohibited.
  13. In the event the exhibitor violates any rules or regulations of the show, NSCAA has, at all times, the right to regain immediate possession of any space and all payments shall be forfeited.
  14. Exhibitors may not employ walk-arounds without prior written NSCAA permission.
  15. All crates must have completed empty stickers on them and be ready for removal by 4 p.m. Show management will place empty stickers on crates and remove them after 4 p.m. Any additional expense incurred having the crates returned is the exhibitor's responsibility.

Exhibitor Promotions

  1. NSCAA reserves the right of approval of any and all exhibitor promotions and/or displays. Any exhibitor planning to conduct a clinic, autograph signing or other activity within its booth must inform NSCAA in writing no later than one week prior to the Convention.
  2. All sales literature representing NON-EXHIBITING companies will be excluded from distribution at the Convention. Companies or persons doing so will be excluded from exhibiting at future Conventions and the literature will be removed.
